How to Write an RFQ for Automotive LED Lighting Suppliers
Learn what information wholesalers and importers should include in an RFQ for LED headlight bulbs, projector lenses, work lights and private-label orders.

A supplier cannot give you a useful quotation if the inquiry contains only five words:
Please send me your best price.
For automotive lighting wholesalers and importers, a better RFQ can save days of back-and-forth communication and make supplier comparisons much more accurate.
The purpose of an RFQ is not to make the document complicated.
It is to give the supplier enough information to understand what you actually want to buy.
Start With the Product Category
First, identify the product type.
For example:
- LED headlight bulbs
- Bi-LED projector lenses
- LED work lights
- LED light bars
- auxiliary lights
Do not send a supplier a message saying:
I need car lights.
The category determines which product information should come next.
Provide the Models or Socket Types

- purchasing power

- regulatory considerations
A distributor in South America may need a different product mix from a distributor in the Middle East or Africa.
Your target market helps the supplier understand the context behind your inquiry.
Include Estimated Quantity
Quantity affects:

You do not need to know the exact final order before requesting a quotation.
An estimated quantity is still useful.

100–200 sets
Regular order:
500–1,000 sets
or:
Please quote 100, 500 and 1,000 sets.

State Whether You Need Mixed Models

Many distributors do not want 500 sets of one socket.
They may want several models combined.

Then ask how quantities can be allocated across the range.
Explain Your Product Positioning

Without it, the supplier may send you ten products with no clear explanation of which one fits your business.
A good RFQ helps the supplier narrow the choice.

If you are building your own brand, state this at the beginning.

- model names
Ask which options are available rather than assuming everything can be customized.
Also clarify whether you need standard samples first or customized samples.
Ask for the Information You Actually Need
A practical quotation request can ask for:
- product model
- available socket or size options
- verified specifications
- unit price
- MOQ
- packaging
- sample policy
- production lead time
- warranty terms where applicable
- OEM options
- shipping terms
The exact list depends on your business.
Do not request twenty irrelevant pieces of information just because they appear in an RFQ template.
Ask for Consistent Specifications
If you receive:
one specification in the catalog
another in the quotation
and another on the product page
stop and clarify.
Product consistency is especially important for repeat orders and private-label projects.
The final confirmed specification should be recorded before bulk production.

Your RFQ can be as simple as:

We are currently sourcing:
